Client Questions

What is Optima Grata?

Optima Grata is a coordination service built to help clients move through service needs with more structure, clarity, and follow-through. We help review your request, organize the details, identify the best next step, and coordinate with an appropriate provider when needed.

What happens after I submit my request?

Once your request is received, OG begins reviewing and organizing the next step. We look at the details, the type of work needed, and the best path forward. If more information is needed, we will reach out before moving the request further.

Does work begin immediately after I submit?

Once your request is submitted, OG begins the coordination process by reviewing the information and organizing the next step. If the request is ready to move forward, the required fee is handled so coordination with the provider can proceed clearly and properly.

What is the coordination fee for?

The coordination fee allows OG to begin active work on your request. This includes intake review, request handling, provider coordination, and moving the process forward in a structured way. It is part of the coordination process, not a blanket payment for all job-related costs.

Are labor and materials included in the coordination fee?

Not automatically. The coordination fee is for OG’s handling and coordination of the request. Labor, materials, equipment, permits, and similar job costs are separate unless clearly stated otherwise in writing.

Why is there a fee before work moves forward?

The fee allows OG to move the request from review into active coordination. It helps ensure the request is being handled seriously, clearly, and with the level of attention needed to move it forward properly.

Will I know the cost before the job moves forward?

You should understand the coordination fee first, and any additional job-related costs should be explained separately as the process moves forward. OG is meant to help create clarity, not confusion, around what is being handled and what the next step involves.

Are there any hidden fees?

OG is meant to be clear about required fees and next-step handling. If a fee applies to coordination or another part of the process, it should be explained before that step moves forward.

What if the scope changes after I submit?

If the scope changes, OG will reassess the request and help organize the next appropriate step. Depending on the size, urgency, or complexity of the change, additional coordination or revised handling may be needed..

What if I need urgent, immediate, or priority handling?

If the request is urgent, immediate, after-hours, or otherwise more time-sensitive, OG may need to move it through a faster or higher-priority coordination path. If special handling applies, that should be explained clearly before moving forward.

Do I sign a contract?

You may be asked to agree to OG’s terms and coordination rules before the request moves forward. If provider-specific work terms or project documents are needed later, those should be handled clearly at the appropriate stage.

Am I hiring Optima Grata to perform the labor?

No! Optima Grata’s role is to coordinate the process unless stated otherwise in writing. Depending on the job, the actual labor may be performed by an approved provider, while OG helps organize, support, and move the request through the proper path.

Does Optima Grata guarantee that a provider will be available?

No availability should be assumed until the request is reviewed and the next step is confirmed. Matching depends on service type, location, scope, timing, provider status, and other factors.

Does paying the fee guarantee job completion?

No. Paying a coordination fee means the request can move into active coordination. It does not automatically guarantee final job completion, provider acceptance, exact timing, or a specific end result.

How are providers selected?

Providers are reviewed based on service fit, property fit, active status, availability, and service area coverage. Optima Grata uses internal matching logic and manual review to help identify appropriate candidates.

Will I be told if more information is needed?

Yes. If your request is missing details or needs clarification, you may be contacted before the request moves forward.

What information should I make sure is correct?

Your contact information, service address, service type, property type, urgency, and request details should be accurate. Good information helps avoid delays, improves matching, and keeps the coordination process moving cleanly.

What if I entered the wrong information?

Tell Optima Grata as soon as possible so the request can be corrected. Wrong details can slow review, affect provider matching, or cause the wrong next step.

What if I want to cancel?

Cancellation handling depends on the stage of the request and the terms that applied when you moved forward. If coordination work has already started, cancellation may not erase work already performed. Review the applicable terms carefully.

Are fees refundable?

Refundability depends on the applicable terms and the stage of the request. If coordination work has already begun, some or all fees may be non-refundable. Do not assume refundability unless it is clearly stated.

What if the provider says extra work is needed?

Extra work, added scope, materials, equipment needs, or major changes should be addressed clearly before moving forward. Added work should be explained instead of assumed. Optima Grata is there to help keep that communication organized so expectations stay clear.

What if timing changes?

Timelines can change based on scope, provider availability, client responsiveness, materials, permits, weather, site conditions, or other practical factors. Timing should be treated as subject to real-world conditions unless guaranteed in writing.

How will I be contacted?

Contact usually happens through the method you provided in your request, such as phone, email, or text, depending on what was selected and what is appropriate for the request.

Can I go directly around Optima Grata once I am connected?

Clients should follow the agreed coordination process and the applicable terms. If the relationship was introduced and coordinated through Optima Grata, outside dealing may violate the agreed rules. That helps keep the process clear, tracked, and properly managed.

Why does Optima Grata use written terms?

Written terms help avoid confusion. They clarify what is covered under the terms, what it does not cover, what stage the request is in, and what each party should expect as the request moves forward.

What are the most important things for me to remember?

Submit the most accurate information, review the terms carefully, understand what the fees cover, do not assume labor or materials are included, and know that OG is there to help organize the process and move the request forward properly.
